It moves beyond basic office tasks to handle your entire digital church management database, volunteer scheduling, communication channels, and weekly financial tracking. This tier acts as your full-service, back-office administrator, giving your pastoral staff complete freedom to focus entirely on ministry, teaching, and pastoral care.

Included Deliverables & Scope Boundaries

📋 Sunday Production & Print Media

• Advanced Bulletin Layout: Complete custom graphic design, typesetting, and layout of your physical weekly bulletin using Canva (includes up to 2 custom inserts or specific ministry flyers).  

• Physical Assembly: Full printing, precision folding, and insert stuffing executed directly on your church's office equipment.  

• Screen Announcements: Custom design of up to 5 beautiful, clear announcement slides per week to display on your church screens before and after services.  

✉️ Central Inbox & Digital Phone Management

• Central Email Inbox: Daily active monitoring and processing of the primary church email address (Monday–Thursday, 9:00 AM – 1:00 PM EST) to handle community inquiries and filter spam.  

• Digital Phone & Voicemail Management: Daily monitoring and processing of cloud-based church voicemails and digital text inquiries (Monday–Thursday).

• Administrative Call-Backs: Returning routine logistical and informational phone calls remotely on behalf of the church to save your pastoral team time.

• Digital Community Newsletter: Custom production and distribution of 1 weekly digital newsletter sent straight to your congregation directory to keep your church family connected and informed.  

👥 Volunteer Coordination & Event Tracking

• Volunteer Scheduling: Full digital scheduling, roster management, and automated text/email reminders for Sunday serving teams (ushers, greeters, media, hospitality) using your church database (e.g., Planning Center).  

• Event Administration: Full digital setup of event registration forms, tracking attendee sign-ups, and managing administrative logistics for upcoming church events.  

💰 Financial Administration & Workflows

• Donation Management: Secure digital recording, tracking, and systematic categorization of weekly tithes, offerings, and special building funds into Planning Center Giving (1x per week).  

• Expense Tracking: Digital collection, processing, sorting, and reporting of church receipts and invoices using Dext (1x per week) to keep your books completely organized.  

• Donor Statements: Complete compilation and distribution of year-end giving summaries for tax purposes, along with quarterly donor milestone updates.  

⚙️ Expanded Onsite Operations & Ministry Audits

• Expanded Onsite Block: One dedicated onsite operational block per week (Thursdays or Fridays, up to 5 hours) at your church building for high-speed physical production, physical mail sorting, and face-to-face pastoral alignment.  

• Sunday Ministry Audit: 1 Sunday service attendance per calendar month to observe media presentation layouts, test live volunteer check-in workflows, and briefly interface with ministry leaders for workflow optimizations.  

• Procurement & Vendor Management: Full digital sourcing, ordering, and remote coordination of building vendors (HVAC, plumbing, security systems) and ministry supplies.

Out-of-Scope Activities

To maintain strict quality standards and project boundaries, this comprehensive package explicitly excludes: daily walk-in visitor greeting, physical facility cleaning/janitorial upkeep, real-time emergency phone dispatch outside office hours, and specialized IT hardware repair. Out-of-scope administrative requests can be negotiated as isolated project add-ons.
